About The Role
The Accounts Payable Clerk at Simmons Prepared Foods Inc. plays a vital role in maintaining the financial health and operational efficiency of the organization. This position is responsible for processing invoices, managing payments, resolving vendor inquiries, and ensuring compliance with company policies and procedures. The role requires attention to detail, organizational skills, and the ability to work independently within a team environment.
The ideal candidate will perform a variety of clerical and accounting tasks, including matching invoices with related documentation, entering data accurately into the accounting system, and performing payment runs. They will also communicate effectively with vendors to resolve discrepancies, answer inquiries, and maintain positive relationships. Cross-training with other accounting personnel is expected to ensure seamless operations and coverage during absences. The position offers an opportunity to contribute to the company's financial processes while developing a comprehensive understanding of accounts payable functions within a dynamic organization.
Qualifications
- Minimum of 1 year of accounting experience, with accounts payable experience preferred.
- High school diploma or equivalent required; some college coursework, particularly in accounting, is preferred.
- Proficiency in Microsoft Word and Excel, with basic knowledge of ERP systems a plus.
- Strong attention to detail, accuracy, and organizational skills.
- Excellent interpersonal, analytical, and verbal/written communication abilities.
- Ability to work independently, prioritize tasks, and handle high volumes of data efficiently.
- Experience in the food processing or manufacturing industry is advantageous.
Additional requirements include basic math and accounting principles, accurate data entry skills, and the ability to adapt to new systems and processes as needed.
Responsibilities
- Process and match invoices to related documentation, ensuring accuracy and compliance with company policies.
- Enter invoices into the accounting system promptly, generating reports to identify discrepancies for further investigation.
- Perform multiple payment runs, including checks and electronic payments, ensuring timely processing within vendor terms.
- Gather and verify supporting documentation for payments, review for anomalies, and make necessary corrections.
- Distribute checks and reconcile balance forward accounts as needed.
- Respond to vendor inquiries via phone and email, resolving issues related to invoices, statements, and payments.
- Research and verify vendor-reported issues, working collaboratively with vendors and internal teams to reach resolutions.
- Participate in cross-training initiatives to support team functions and ensure continuity of operations.
- Contribute to team meetings, communicate effectively regarding policies, procedures, and process improvements.
- Maintain familiarity with Simmons' operating systems, quality standards, security protocols, and LEAN principles, supporting continuous improvement efforts.
- Perform additional duties as assigned to support overall business objectives, demonstrating flexibility and proactive engagement.
This role requires physical activities such as data entry, document handling, and communication via multiple channels. Occasional domestic travel and overnight training sessions may be necessary.
