POSITION OVERVIEW

The Procurement and Fixed Asset Specialist is responsible for managing the school’s procurement activities and fixed asset administration to ensure the timely acquisition of goods and services, effective asset control, and compliance with school policies and procedures. The role works closely with the Finance Manager, Principal, Governor, teachers, department heads, and suppliers to support the school’s operational and educational requirements through efficient procurement and responsible asset management.

KEY RESPONSIBILITIES

1. Procurement Operations

  • Assist the Finance Manager in managing daily procurement operations and ensuring smooth workflow across the procurement function.
  • Work independently to handle procurement activities while supporting the overall objectives of the Finance Department.
  • Collaborate closely with departments, teachers, Finance Manager, Principal, and Governor to ensure purchases are accurate, necessary, cost-effective, and aligned with approved budgets.
  • Process Purchase Requests (PRs) and ensure all requests receive appropriate approvals before procurement activities commence.
  • Obtain quotations, prepare price comparisons, and compile supporting procurement documentation for review and approval.
  • Prepare, review, and monitor Purchase Orders (POs), ensuring accuracy and timely processing.
  • Follow up with suppliers to ensure the timely delivery of goods and services.
  • Maintain and regularly update a procurement status tracker for pending Purchase Requests and Purchase Orders to ensure transparency and effective communication with stakeholders.
  • Resolve issues related to Purchase Orders, supplier invoices, deliveries, and received items in a timely and professional manner.
  • Support continuous improvement initiatives to enhance procurement processes and operational efficiency.
  • Assist in managing supplier agreements, service contracts, shipping arrangements, and customs clearance processes.
  • Coordinate deliveries and shipment arrivals while maintaining accurate receiving and tracking records.
  • Build and maintain positive and professional relationships with suppliers, contractors, and service providers.
  • Collaborate effectively with the Group Procurement Team and other internal stakeholders.
  • Ensure all procurement activities comply with school policies, procedures, and internal control requirements.

2. Fixed Asset Management

  • Maintain and update the school’s fixed asset register, ensuring all assets are accurately recorded and properly classified.
  • Ensure all fixed assets are appropriately tagged and assigned to responsible departments or users.
  • Record and monitor asset acquisitions, transfers, disposals, write-offs, and replacements.
  • Perform regular physical asset verification and inventory counts with relevant departments to support Group and Audit requirements and compliance.
  • Investigate and resolve discrepancies between physical assets and asset records.
  • Maintain supporting documentation for all asset-related transactions and movements.
  • Coordinate with the Finance team to support asset capitalization, depreciation schedules, and audit requirements.
  • Assist in monitoring capital expenditures and preparing asset-related reports.

 

3. Compliance and Reporting

  • Ensure procurement and fixed asset activities comply with internal policies, financial controls, and audit requirements.
  • Maintain complete, accurate, and organized procurement and asset documentation.
  • Prepare procurement, supplier, inventory, and fixed asset reports as required by management.
  • Promote transparency, accountability, and ethical procurement practices in all activities.
  • Support internal and external audits by providing required records and explanations.

 

4. Professional Conduct and Collaboration

  • Demonstrate professionalism, accountability, teamwork, and effective communication in all duties and interactions.

  • Perform other procurement, fixed asset, inventory, and finance-related duties as assigned by the Finance Manager, Principal, or Governor. 

PERSON SPECIFICATION

Education

·      Bachelor’s Degree in Procurement, Supply Chain Management, Business Administration, Finance, Accounting, or a related field.

Experience

  • Minimum 3 years of experience in procurement, purchasing, inventory management, or fixed asset administration.
  • Experience in an international school, educational institution, or service-oriented organization is an advantage.
  • Familiarity with NAV systems, accounting software, and asset management systems is preferred.

Skills and Competencies

  • Strong procurement and supplier management skills.
  • Knowledge of procurement procedures, inventory control, and fixed asset management principles.
  • Strong organizational, analytical, and problem-solving abilities.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Excellent communication and stakeholder management skills.
  • High level of integrity, accuracy, and attention to detail.
  • Ability to prioritize tasks, meet deadlines, and work independently
