OUR OPPORTUNITY
The Govan Brown commercial interiors team is seeking a driven and detail-oriented Project Administrator to play a key role in supporting construction projects at every stage, from start-up through to closeout. A core part of this role includes managing project documentation end-to-end, ensuring accuracy, compliance, and consistency across all phases. This is an exciting opportunity to apply your formal construction education in a dynamic, real-world environment.
Responsibilities include but are not limited to:
- Performing a range of administrative services through all phases of our projects, from start-up through construction and close-out.
- Playing a key role in the tender process.
- Ensuring construction project files and documents are prepared, shared, and logged with a high level of accuracy and within required timeframes.
- Assembling and preparing documents of a complex nature i.e., RFQs, subcontractor purchase orders and contracts, drawing packages.
- Liaising and following up with designers and sub-contractors to obtain required information, such as change orders, estimates and close-out documentation.
- Setting up and maintaining accurate project information and data in our computerized project management system (CMiC).
- Providing regular project status updates to the Project Managers and Project Manager Assistants.
- Obtaining and assembling project close-out documentation, including as-built drawings, manuals, warranties, building permit etc.
- Providing top notch service to clients, suppliers, and other stakeholders by responding professionally and with a sense of urgency.
WHAT YOU BRING
- Post-secondary education in Construction Management, Engineering, or a related discipline, or equivalent industry experience
- 1–3 years of experience in a construction project management role (co-op experience considered an asset)
- Strong understanding of construction processes, terminology, and project lifecycle
- Excellent organizational, problem-solving and time management skills, with the ability to manage multiple priorities, changing project needs and deadlines
- Demonstrated ability to work collaboratively in a team environment
- High attention to detail, particularly in managing project documentation
- Strong written and verbal communication skills, with the ability to liaise effectively with project teams, subcontractors, and clients
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with construction management software (e.g., Procore, Bluebeam, MS Project) is an asset
- Ability to read and interpret construction drawings, specifications, and contract documents is an asset
- Knowledge of document control processes, including RFIs, submittals, and change orders, is an asset
YOUR ESTIMATED SALARY
- This role offers an annual salary between $60,000 – $65,000, with final compensation thoughtfully tailored in the offer stage.

- Office location is 108 Vine Avenue, Toronto. This is not a hybrid or remote role.
- Exposure to construction work site environment in all seasons.
