Role Purpose

The Project Operations and Administration Coordinator will provide comprehensive operational, administrative, logistics, fleet, procurement and project coordination support across the HISP-SA Lesotho portfolio. The role will ensure efficient project operations, support project governance activities, coordinate field support teams, manage travel and vehicle administration, maintain project records, and provide operational reporting to support effective project delivery.

Key Responsibilities:

General Administration & Coordination

  • Coordinate project meetings, workshops and stakeholder engagements.
  • Prepare agendas, minutes, action logs and meeting packs.
  • Maintain project calendars and implementation schedules.
  • Manage project filing systems and document repositories.
  • Coordinate project correspondence and communication.

Project Reporting and Performance Tracking

  • Coordinate monthly, bi-weekly and ad hoc project reporting.
  • Maintain project trackers and reporting dashboards.
  • Support the Project Manager to track project deliverables and action items.
  • Monitor reporting deadlines and follow up on outstanding submissions.
  • Support preparation of CDC, MoH and project reports.
  • Track project timesheet compliance.

Travel and Logistics Administration

  • Coordinate travel, accommodation and transport bookings.
  • Administer travel requests and approvals.
  • Reconcile travel advances and fuel advances.
  • Verify travel claims and supporting documentation.
  • Maintain travel expenditure trackers.
  • Coordinate workshops, training events and stakeholder meetings.

Procurement and Asset Management

  • Obtain quotations and support procurement processes.
  • Maintain procurement trackers and supplier records.
  • Track deliveries and maintain audit-ready records.
  • Maintain asset registers and equipment allocation records.
  • Coordinate periodic asset verification exercises.

Financial Administration Support

  • Maintain expenditure trackers.
  • Track travel, logistics and operational expenditure.
  • Support invoice processing and payment follow-up.
  • Assist project managers with budget monitoring.

Project Fleet & Vehicle Management

  • Maintain project vehicle allocation schedules.
  • Monitor project vehicle utilisation and tracker reports.
  • Maintain vehicle logbooks and mileage records.
  • Reconcile vehicle usage against approved travel plans.
  • Coordinate vehicle servicing, maintenance and repairs.
  • Monitor licensing, insurance and compliance requirements.
  • Produce monthly fleet management reports.

Helpdesk Operations Coordination

  • Coordinate Tier 1 and Tier 2 Helpdesk schedules.
  • Monitor implementation of facility support plans and report to project manager.
  • Monitor adherence to district support schedules.
  • Produce weekly and monthly support coordination reports.
  • Coordinate support logistics for field teams.

Project Support & Special Assignments

  • Support Project Managers and Technical Leads as required.
  • Assist with project presentations, proposals and project documentation.
  • Undertake additional operational responsibilities as assigned

Minimum Requirements:

  • Diploma in Project Management, Business Administration, Operations Management, Logistics Management, Public Administration or related field.
  • Minimum 5 years' experience in project administration, operations coordination, logistics or office management.
  • Experience working in NGO, donor-funded, health or development programmes.
  • Experience coordinating dispersed field teams.
  • Experience in fleet, travel and logistics administration.
  • Advanced Microsoft Excel, Word, Outlook and PowerPoint skills.
  • Strong report writing and organisational skills.
  • Excellent communication and stakeholder management skills.
  • High attention to detail and ability to manage multiple priorities.
  • This position is open to Lesotho nationals and permanent residents of Lesotho only.

Preferred Experience

  • Experience supporting CDC, USAID, Global Fund, WHO or similar donor-funded programmes.
  • Experience with project management tools and reporting systems.
  • Experience supporting health information systems or digital health projects.
