The Property Admin Officer at Highgrove plays a vital role in supporting the management and operational functions within the real estate sector. This position requires a professional with at least five years of experience who understands the needs of both tenants and landlords while adhering to compliance requirements and deadlines. The role involves using various property management and administrative tools to ensure smooth lease administration, compliance monitoring, and tenant relations. The individual must possess excellent organizational and time management skills along with strong conflict resolution abilities to navigate issues that may arise during property administration.

This role demands proficiency in document management, scheduling, and reporting, as well as expertise with customer relationship management and compliance auditing tools. The Property Admin Officer will be responsible for accurate data entry, regulatory compliance oversight, and workflow automation within the property management processes. Strong communication skills in English, both spoken and written, are essential to effectively liaise with stakeholders and maintain professional standards across all aspects of property administration.

Responsibilities

  • Manage lease documentation ensuring all contracts are accurate, up to date, and comply with legal and regulatory requirements.

  • Schedule and coordinate property inspections, appointments, and maintenance activities using calendar and scheduling tools.
  • Support risk assessment activities by collecting necessary data and using risk assessment frameworks to identify potential issues.
  • Implement workflow automation processes to increase operational efficiency and reduce manual tasks.
  • Monitor regulatory compliance through auditing tools and update policies to align with current legal requirements.
  • Perform data entry tasks with a high degree of accuracy to maintain reliable and current databases.
  • Use Customer Relationship Management (CRM) software to manage tenant information and improve service delivery.
  • Handle conflict resolution professionally by addressing tenant complaints and negotiating acceptable solutions.
  • Maintain excellent timekeeping and manage multiple tasks efficiently while prioritizing urgent property management activities.
