What You'll Do
As a Receptionist and Administrative Assistant, you will play an integral part in creating a welcoming atmosphere for everyone who enters the office while ensuring that all administrative processes run smoothly behind the scenes. Your day will involve managing front-of-house duties such as greeting guests, handling calls with care, preparing meeting spaces for important discussions, coordinating logistics for events or travel needs, maintaining vital office supplies, overseeing security access systems, supporting IT queries from colleagues in collaboration with regional teams, and acting as a reliable point of contact between staff members and external partners. - Greet internal and external clients both in person and over the phone with warmth and professionalism, responding promptly to requests for information by following established procedures.
- Efficiently answer all incoming calls via the switchboard, transferring them accurately to relevant individuals or relaying messages in a timely manner when required.
- Maintain an immaculate reception area at all times, ensuring meeting rooms are set up correctly before each appointment and tidied after use, including replenishing necessary supplies.
- Assist with video and audio conference setups, ensuring technology is ready for seamless meetings involving both local and overseas participants.
- Support the Business Development Team by helping organise seminars and conferences, liaising with colleagues across departments as needed for successful event execution.
- Coordinate travel arrangements for staff members, including organising visas and transfers while building positive relationships with external travel providers.
- Manage daily incoming and outgoing mail as well as local and overseas courier services to ensure efficient document flow throughout the office.
- Liaise regularly with building management and vendors regarding facilities maintenance issues such as air-conditioning or lighting, assisting with day-to-day office operations including vendor invoices.
- Monitor office stationery levels, pantry supplies, and maintain photocopiers/printers as required to keep essential resources available for all staff members.
- Oversee administration of access cards, office keys, mobile phones (including provider liaison), reviewing monthly bills for accuracy before submission to Finance.
