Full-Time Remote Administrative Assistant – Plowman Kitchen & Bath

Remote | Monday – Friday, 8:00 AM – 4:00 PM EST

Plowman Kitchen & Bath is looking for a highly organized, tech-savvy Administrative Assistant to help streamline our growing business. This is a full-time remote position where you’ll play a key role in keeping projects, sales, and operations running smoothly. What You’ll Be Doing:

Project & Operations Support

Assist the Design & Selection Coordinator (DSC) with completing material selection sheets and organizing files in the CRM and Google Drive.
Collect and organize job site photos from the DSC and field staff for project documentation and marketing.
Keep client records and job progress updated in project management systems.
Share weekly project summaries with customers, based on staff updates.
Track project milestones and deadlines in the production calendar/Gantt chart and adjust schedules as needed.
Take meeting notes and create action items for follow-up.
Maintain and update project files in Google Drive.
Track pending client approvals and selections to keep projects moving.
Ensure all required materials are ordered before project start dates.
Assist the Business Operations Manager (BOM) in organizing and obtaining documents from subcontractors, craftsmen, and the Field Operations Supervisor.

Sales, Marketing & Customer Support

Lead Intake & Qualification: Answer new customer inquiries via phone and email, enter leads into the CRM, run through pre-qualification questions, and schedule intake calls with a sales rep (Jess or Kelly).
Sales & Production Funnel Follow-Up: Track and assist in progressing leads through the sales pipeline.
Email Follow-Ups After Estimates: Be included in post-estimate emails to help maintain regular touchpoints and track the status of sales.
Customer Service Support: Respond to inquiries, provide project updates, and assist with customer communications.
Social Media Support: Create and schedule two weekly social media posts to keep engagement high.
Marketing Assistance: Help gather and organize content for marketing materials, blog posts, and email campaigns.
Supplier & Material Research: Find the best materials and suppliers for upcoming projects and ensure pricing/inventory updates.
Design Support: Assist the DSC with light design-related tasks as needed.

Business Operations & Continuous Improvement

KPI Tracking: Maintain and update key performance indicators (KPIs) to help assess business performance.
Payroll Support: Verify time cards with other employees for the BOM to process payroll accurately.
Continuous Improvement: Gather feedback from the team on ways to improve business operations and support management in implementing new processes.
General Administrative Support: Assist with additional tasks as assigned by management to improve efficiency and organization.

Position Details:

Remote Position – Work from anywhere!

Full-Time: Monday–Friday, 8:00 AM – 4:00 PM EST

Hourly Pay: $15 per hour

Local Candidates Preferred & Growth Opportunity

While this is a remote position, being local to the Philadelphia/Montgomery County, PA area is a plus. If local, the new hire will be expected to attend monthly team meetings in person to stay connected with the team and gain a deeper understanding of company operations.

Additionally, this position has the potential to transition from a contract role to a permanent hire within a few months, depending on performance and business needs. We are looking for someone who is eager to grow with us and take on more responsibilities as the role evolves!
