Indonesia Impression DMC is a leading inbound Destination Management Company specializing in tailor-made travel experiences throughout Indonesia. We create private journeys for international travelers, from bespoke FIT itineraries and luxury holidays to group tours and incentive travel. As our business continues to grow, we are looking for a motivated and detail-oriented Reservation & Hotel Contracting Officer to join our Operations team.
About the Role
As a Reservation & Hotel Contracting Officer, you will be responsible for managing hotel reservations and developing strong partnerships with accommodation suppliers across Indonesia. You will play a key role in ensuring our clients receive competitive hotel rates, timely booking confirmations, and outstanding service throughout their journey.
The ideal candidate is organized, commercially minded, enjoys building supplier relationships and thrives in a fast-paced inbound tourism environment.
Key Responsibilities
• Manage hotel reservations for FIT, Group, Series and MICE bookings.
• Secure booking confirmations and follow up on pending reservations within agreed timelines.
• Handle booking amendments, cancellations, and special requests promptly and accurately.
• Ensure all reservation details are correctly entered and maintained in the reservation system.
• Negotiate competitive hotel rates, promotions, allotments, release periods, and contract terms.
• Build and maintain strong working relationships with hotels and accommodation suppliers.
• Review, renew and maintain hotel contracts, rates, and supplier information.
• Work closely with the Sales and Operations teams to support confirmed bookings, and operational requirements.
• Resolve booking issues and provide suitable alternatives when required.
• Maintain accurate records of hotel contracts, reservations, and supplier communications.
What we’re looking for
• Diploma or Bachelor's Degree in Tourism, Hospitality, Business Administration, or a related field.
• Minimum one (1) year of experience in the tourism industry, preferably with an inbound tour operator, Destination Management Company (DMC), hotel or travel agency.
• Experience in hotel reservations, hotel contracting, or supplier management is highly desirable.
• Good written and spoken English and Bahasa Indonesia,
• Strong negotiation and relationship management skills with good commercial awareness.
• Excellent organizational skills with the ability to manage multiple tasks and deadlines.
• Ability to work independently as well as collaboratively within a team.
• Able to perform effectively under pressure in a fast-paced environment.
• Experience using Tourplan is a strong advantage.
