Job Summary
We are seeking a dedicated and organized Receptionist/Secretary to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities

Greet and assist visitors in a friendly and professional manner.

Answer incoming calls with excellent phone etiquette, directing calls to the appropriate personnel.

Manage office correspondence, including emails and mail distribution.

Maintain organized filing systems for easy access to documents and information.

Perform data entry and maintain accurate records using Google Suite and other office software.

Assist with scheduling appointments and managing calendars for team members.

Provide support for office management tasks, ensuring the office runs smoothly.

Proofread documents for accuracy before distribution.

Act as a personal assistant as needed, supporting executives with various tasks.

Handle customer inquiries and provide exceptional customer service.

Qualifications

Proven experience as a receptionist or in a similar administrative role.

Strong computer literacy with proficiency in Google Suite applications.

Excellent phone etiquette and interpersonal skills.

Bilingual abilities are a plus, enhancing communication with diverse clients.

Strong organizational skills with attention to detail.

Ability to manage multiple tasks efficiently while maintaining professionalism.

Experience in office management or customer service is preferred.

A proactive attitude towards problem-solving and assisting team members.
