Role Summary

The Executive Assistant position will serve the senior leadership team including the CEO, President/CIO and President/COO. This is a highly senior role designed for an accomplished professional with exceptional judgment, patience, discretion, and emotional intelligence.

This individual will operate at the intersection of business, investments, and select personal matters—bringing calm structure to a complex, fast‑moving environment of a multi-entity family office. From time to time, the Executive Assistant may also provide limited support to other members of senior leadership, ensuring coordination, continuity, and efficiency across the organization.

Core Responsibilities

Executive & Strategic Support

  • Serve as primary gatekeeper and executive partner to CEO, President/CIO and President/COO.
  • Manage multiple complex, multi‑layered calendars spanning operating companies, investments, boards, and personal obligations
  • Anticipate priorities, prepare briefings, and ensure the leadership team is fully prepared for all meetings, travel, and engagements
  • Track decisions, commitments, and follow‑ups; ensure clear communication and closed loops
  • Act as a stabilizing force amid competing demands, shifting priorities, and confidential matters

Support of Senior Leadership (As Needed)

  • Provide supplemental executive support to select senior leaders as needed (e.g., scheduling, coordination, meeting preparation
  • Support key initiatives requiring cross‑functional coordination

Family Office & Business Operations

  • Coordinate across operating entities, investment vehicles, and advisory teams
  • Liaise with attorneys, accountants, investment managers, bankers, property managers, external advisors, etc.
  • Support governance processes (boards, committees, trusts, or foundations where applicable)
  • Maintain institutional knowledge to ensure continuity across long‑term initiatives

Confidential, Personal & Discretionary Matters

  • Handle sensitive personal and family‑related matters with professionalism, discretion, and strong boundaries
  • Coordinate private travel, residences, special projects, and time‑sensitive requests as needed
  • Maintain absolute confidentiality across all aspects of the role

Communication & Relationship Management

  • Serve as a trusted point of contact for senior executives, advisors, partners, and stakeholders
  • Draft executive‑level correspondence, briefing materials, and internal communications
  • Represent the CEO, President/CIO and President/COO’s voice, priorities, and intent accurately and diplomatically
  • Manage information flow thoughtfully to protect time, focus, and trust

Process, Systems & Continuity

  • Bring structure to complex and evolving environments
  • Improve workflows, documentation, and administrative systems without adding friction
  • Identify inefficiencies, risks, or gaps proactively
  • Support the long‑term sustainability and professionalism of the family office platform

Ideal Candidate Profile

Experience

  • 10–20+ years supporting Founders, CEOs, Principals, or C‑suite executives
  • Experience in family offices, private equity, real estate, investment firms, or entrepreneurial environments preferred
  • Demonstrated longevity and trust in prior senior support roles
