Role Purpose
The Senior Portfolio Administrator plays a key role in managing and overseeing the administration of investment portfolios. This position involves leading administrative functions, ensuring compliance with regulations, and supporting portfolio management activities. The ideal candidate will possess advanced analytical skills, strong leadership abilities, and a deep understanding of investment operations.
Requirements
MINIMUM REQUIREMENTS:
- Grade 12
- Degree in Accounting, Investment Management, Mathematics or Statistics
- 4 years’ relevant experience
- Knowledge of Portfolio management processes, Investment products and financial markets, Risk management principles, Data analysis and reporting
Duties & Responsibilities
Key Performance Areas
- Lead the administration and management of complex administration functions.
- Monitor and perform daily units recon on various instruments.
- Update and maintain instrument static data on investment administration system.
- Process income reviews on Retirement Income product.
- Process special instruction wrap model and unit transfer transactions
- Update the investment system with asset allocation and total investment Cost data on a quarterly basis on all instruments.
- Perform monthly invoices payment and ensure they are authorized on time.
- Attend to monthly reporting’s, including but not limited to broker commission statements, valuation report and inflow and outflows report, execution of Fee Run and timely payments, Brokerage payments and Income Payments, NAMFISA quarterly reporting, Tax Directives submission, PAYE payments and Client statements.
- Ensure accurate record-keeping of portfolio holdings and transactions.
- Oversee data management processes to maintain high data integrity across systems.
- Perform trades daily and ensure that trades are uploaded on Finswitch appropriately adhered to cut off times.
- Overlook and be able to process daily cash transfer, client’s payment and fund manager payments accurately.
- Perform Trade confirmation on different times interval.
- Assist with Due Diligence (DD) and Customer Due Diligence (CDD) updates and yearly audits.
- Perform NAMFISA quarterly reporting and ensure submission of Bi-annually NAMFISA levy.
- Be able to attend to general queries and able to escalate if need to.
- Act as a primary contact for key clients and internal teams regarding portfolio inquiries.
- Prepare and present materials for client meetings, highlighting portfolio performance and strategies up on request.
- Assist the Broker Consultants and maintain good relationships with all stakeholders.
- Perform any ad hoc administration function as per request by your supervisor.
- Mentor and train junior staff, providing training and guidance on best practices and processes.
- Foster a collaborative team environment and promote continuous improvement.
- Ensure adherence to internal policies and external regulations.
