Job Purpose
To provide administrative and coordination support to the Site Acquisition (SAQ) team by managing documentation, tracking project progress, coordinating with internal and external parties, and ensuring all records are properly maintained to support timely project execution.
Key Responsibilities
1. Site Acquisition
- Assist in identifying and securing suitable locations for telecommunication sites.
- Conduct site visits and assess potential sites based on project requirements.
- Coordinate with landlords, building management, consultants, and relevant parties for site acquisition matters.
- Support the SAQ Manager in securing landlord consent and site approval.
- Follow up on site acquisition progress and ensure activities are carried out according to the project timeline.
2. Landlord & Stakeholder Coordination
- Liaise and communicate with landlords, building management, consultants, contractors, and internal departments.
- Coordinate site access, site visits, meetings, and discussions with relevant parties.
- Follow up with landlords on outstanding matters, approvals, documentation, and tenancy requirements.
- Maintain good working relationships with landlords and relevant stakeholders.
3. Commercial & Negotiation Support
- Assist in negotiating rental rates, tenancy terms, renewal terms, and other commercial matters with landlords.
- Prepare and submit rental proposals, Letter of Offer (LOO), and other relevant commercial documents.
- Monitor and follow up on rental negotiations until agreement is reached.
- Escalate commercial issues and negotiation matters to the SAQ Manager where necessary.
4. Documentation & Tenancy
- Prepare, review, and coordinate SAQ-related documentation, including LOO, Tenancy Agreement (TA), Letter of Intent (LOI), SLOO, NOA, and other relevant documents.
- Ensure all required documents and supporting information are complete before submission.
- Coordinate with Legal and relevant internal departments for document review and finalisation.
- Monitor the execution and completion of tenancy documents.
- Maintain proper records of all site acquisition and tenancy documentation.
5. Project Tracking & Coordination
- Maintain and update the SAQ project tracker and site status.
- Monitor key milestones, pending actions, approvals, and deliverables.
- Follow up with internal departments and external parties to ensure timely completion of outstanding matters.
- Identify potential delays and highlight issues to the SAQ Manager.
- Prepare regular project status reports and updates.
6. Site Development Coordination
- Assist in monitoring the status of building management, and other relevant approvals.
- Coordinate with technical, CME, and project teams to ensure site acquisition requirements are aligned with project implementation.
- Assist in resolving site-related issues that may affect project progress.
6. Database & Record Management
- Maintain and update site, landlord, tenancy, and project databases.
- Monitor Tenancy Agreement (TA) expiry dates and renewal requirements.
- Track rental rates, tenancy terms, renewal terms, and other relevant commercial information.
- Ensure all project records and information are accurate and up to date.
6. Reporting & General Duties
- Prepare presentations, reports, and management updates when required.
- Prepare weekly and monthly SAQ project status reports.
- Maintain proper filing and document control for all SAQ projects.
- Attend meetings and provide updates on assigned sites.
- Perform other duties and responsibilities assigned by the SAQ Manager.
