Role Description

We are seeking an organized, proactive, and people-focused Staffing Coordinator to support workforce planning, candidate coordination, staffing administration, and day-to-day recruitment operations. This role is responsible for coordinating staffing activities, maintaining accurate candidate and employee information, scheduling interviews, communicating with applicants, and supporting hiring teams throughout the recruitment and placement process.

The successful candidate will coordinate recruitment schedules and ensure candidates, recruiters, hiring managers, and other stakeholders receive timely information regarding interviews, assessments, onboarding activities, and staffing requirements. You will maintain recruitment calendars, track candidate progress, and help ensure each stage of the hiring process is completed efficiently.

The role involves reviewing staffing requests, understanding workforce requirements, organizing candidate information, and supporting the identification of suitable candidates for open positions. You will assist with job postings, applicant tracking, resume organization, candidate screening coordination, interview scheduling, and recruitment documentation.

You will communicate with candidates through email, phone, messaging platforms, and other approved communication channels. Responsibilities include confirming interview arrangements, providing application updates, responding to basic recruitment inquiries, collecting required information, and ensuring candidates have clear instructions throughout the hiring process.

The position requires maintaining accurate records within applicant tracking systems (ATS), human resources information systems (HRIS), spreadsheets, and other staffing platforms. You will update candidate statuses, maintain contact information, record interview outcomes, track vacancies, and prepare staffing reports as required.

You will work closely with recruiters, hiring managers, HR teams, department supervisors, and external staffing partners to coordinate recruitment activities and workforce requirements. You will help monitor open positions, identify scheduling conflicts, follow up on outstanding actions, and ensure staffing priorities remain visible to relevant stakeholders.

The role also includes supporting onboarding and workforce administration activities. You may assist with collecting required documentation, coordinating onboarding schedules, preparing new-hire information, communicating start-date details, and ensuring relevant teams are informed of staffing changes.

You will assist with monitoring staffing metrics such as vacancy status, candidate pipeline activity, interview schedules, hiring progress, onboarding completion, and recruitment turnaround times. You will prepare basic reports and summaries to help staffing and HR teams evaluate recruitment activity and workforce requirements.

The role encourages the use of applicant tracking systems, recruitment automation, digital scheduling tools, AI-assisted recruitment technologies, and workforce management platforms to improve coordination and administrative efficiency. Strong organization, communication, attention to detail, confidentiality, and customer-service skills are essential for supporting a smooth and professional staffing process.

Qualifications

  • Strong understanding of staffing coordination, recruitment administration, candidate management, and HR support processes.
  • Familiarity with applicant tracking systems (ATS), HRIS platforms, recruitment databases, scheduling tools, and Microsoft Office applications.
  • Strong organizational and time management skills with the ability to coordinate multiple candidates, interviews, vacancies, and deadlines.
  • Excellent written and verbal communication skills with a professional and approachable communication style.

  • Basic understanding of recruitment workflows, candidate screening, interview processes, onboarding, and workforce planning.
  • Ability to prepare staffing reports, vacancy updates, candidate summaries, recruitment trackers, and administrative documents.
  • Strong follow-up and coordination skills with the ability to monitor outstanding actions and ensure timely completion.
  • Ability to prioritize tasks effectively when managing changing staffing requirements and multiple recruitment activities.
  • Familiarity with recruitment automation, AI-assisted sourcing tools, digital scheduling platforms, and workforce management technologies is advantageous.
  • Good problem-solving skills with the ability to identify scheduling conflicts, administrative issues, and process gaps.
  • Ability to work collaboratively with HR, recruitment, management, department teams, and external service providers.
