We are hiring a reliable and tech-savvy Staffing Operations Assistant to support a growing staffing company with recruiting administration, ATS updates, candidate records, job postings, workflow organization, and day-to-day operational support.
This role is best for someone who understands staffing, recruiting, HR administration, or has strong experience working with systems, workflows, automations, and organized data.
You do not need to be a recruiter, but you should be comfortable working around resumes, candidate information, job posts, inbox activity, databases, and internal processes.
Day-to-Day Work
On a typical day, you may upload resumes into the ATS, update candidate records, clean up tags and job details, redact contact information from resumes, organize candidate files, post jobs, update job flyers, monitor incoming resumes, help prepare basic contracts or documents, and track follow-up items from meetings.
During slower periods, you will help with ATS cleanup, data entry, system maintenance, workflow documentation, file organization, and long-term operations projects.
You may also support basic LinkedIn activity, such as reacting to posts, sending simple outreach messages, responding to basic messages, and helping keep recruiting activity organized.
Requirements
- 2+ years of experience in staffing, recruiting, HR administration, operations support, executive support, or similar role
- Experience working with ATS platforms, CRMs, databases, or other online systems
- Comfortable handling resumes, candidate records, job posts, or structured data
- Strong attention to detail and accuracy
- Organized and able to manage many small tasks at once
- Comfortable with repetitive data entry, cleanup work, and system maintenance
- Tech-savvy and able to learn new tools quickly
- Able to follow instructions carefully and ask clear questions when needed
- Reliable, proactive, and able to work independently
- Strong English communication skills
- Available during U.S. business hours
Strong Plus
- Experience in a staffing, recruiting, HR, or outsourcing company
- Hands-on ATS experience
- Experience with LinkedIn sourcing, outreach, or candidate engagement
- Experience improving workflows, organizing SOPs, or documenting processes
- Familiarity with AI tools such as ChatGPT, Claude, or similar platforms
- Experience with workflow tools such as Zapier, Make, Airtable, Notion, Monday.com, Asana, ClickUp, or similar platforms
- Canva or basic flyer/design experience
What We’re Looking For
We are looking for someone who can keep recruiting operations organized, accurate, and moving. The right person should be detail-oriented, systems-minded, and comfortable supporting both daily admin tasks and longer-term cleanup or workflow projects.
This is not just a basic admin role. We are looking for someone who can work inside systems, maintain clean data, support recruiting activity, and help improve how work gets done.
