We’re looking for a proactive and highly organised Team Assistant to join our growing team in Germany. You’ll play a key role in keeping the office running smoothly, while supporting the wider team with a range of administrative, research, and coordination tasks.

This is a varied and hands-on role, perfect for someone who enjoys taking ownership of their work, solving problems, and being a helpful presence in the day-to-day life of a busy office. You’ll be working closely with colleagues across departments, so collaboration, communication, and attention to detail are essential.

What You’ll Be Doing

  • Setting up internal strategy days, offsites, and helping manage HubSpot event pages and email marketing campaigns.
  • Providing reliable, flexible support across projects and tasks as needed – from desk plans to light data entry.
  • Ensuring the office is well-stocked, tidy, and functional – including ordering supplies, managing breakfast and refreshments, and handling basic landlord communication.
  • Handling incoming invoices, organising correspondence with German authorities (e.g. social security), and liaising with HR and accounting teams in London when needed.
  • Managing travel arrangements for the team, including BahnCard setup, bookings, loyalty schemes, and reimbursements.
  • Coordinating website changes with our London team and helping with translations or updates for new topics and team members.
  • Supporting the Managing Director and team with desk research (e.g., new markets, investor types, asset classes) and contributing to internal presentation preparation.

What we’re looking for:

  • Experience: Some prior experience in a team assistant, administrative or office coordination role.
  • Language Skills: Native-level German with fluent English (spoken and written), able to communicate clearly with colleagues and industry contacts is essential.
  • Organisation: Reliable and detail-oriented, with the ability to prioritise tasks and juggle multiple deadlines.
  • Technical Proficiency: Comfortable with Microsoft Office and open to learning tools like HubSpot.
  • Communication: A clear communicator who’s confident working with different teams and managing external correspondence.
  • Initiative: A self-starter who notices what needs doing and gets the job done!
