Who we are looking for?

We are seeking for a reliable and highly motivated Team Assistant to support our Hospitality & Leisure Team.

The ideal joiner has:

  • 1/2 year experience at the latest,
  • Advanced proficiency in the Microsoft Office Package,
  • Italian language knowledge is a must to have; English language proficiency is also required (at least C1),
  • Degree or high school diploma and demonstrated relevant experience in the role.

What you will be responsible for?

  • Acting as the first point of contact for the team and making sure the day-to-day operations are running smoothly;
  • Providing professional contribute to the H&L Team such as preparing documents and presentation, updating spreadsheets to strict deadline;
  • CRM management, customer lists, database;
  • Managing company and team procedures & related documentation;
  • Taking charge of administrative assignments such as building and asses tender documentation, amending contracts, preparing sales & marketing presentation, updating track record;
  • Undertaking ad hoc administration tasks as required, such as travel expense submission and reconciliation, invoicing and administrative duties;
  • Continually looking for opportunities to develop and improve systems and procedures to maximise team efficiencies;
  • Managing the calendar and email for the Head of H&L and coordinating team schedules,
  • Booking, coordinating and preparing agendas, notes and minutes for meetings, when requested;
  • Organising events and travel for the whole team and monitoring related travel expense.
