Role Description

As a Tender Document Specialist, you will be responsible for managing the complete lifecycle of tender documentation. This includes reviewing tender notices, preparing all required technical and financial documents, ensuring compliance with regulatory frameworks, and coordinating with internal and external stakeholders to ensure timely and accurate submission.

Key Responsibilities

  • Analyze tender notices, RFQs, RFPs, and EOIs from government and private entities
  • Prepare, compile, and format tender documents in line with client requirements
  • Coordinate with technical, finance, legal, and sales teams to gather necessary content and approvals
  • Draft compliance sheets, manufacturer authorizations, certifications, declarations, and other annexures
  • Maintain document version control and ensure all content aligns with bid specifications
  • Ensure all required documents are signed, sealed, and notarized as per submission rules
  • Submit bids physically or electronically (via e-GP, portals, or email) within deadlines
  • Maintain a digital and physical archive of all past tender submissions
  • Track tender outcomes and assist in post-submission queries or clarifications
  • Assist with vendor registration, pre-bid meetings, and communication with procurement officials

Qualifications

  • Bachelor’s degree in Business Administration, Management, Engineering or a related field
  • Minimum 1–2 years of experience in tender documentation or project coordination
  • Strong understanding of public procurement processes (local, national, donor-funded)
  • Excellent writing and formatting skills in English and Nepali
  • Detail-oriented with the ability to work under pressure and meet tight deadlines
  • Strong knowledge of Microsoft Word, Excel, PDF tools and can work with AI
  • Familiarity with e-GP systems and online submission protocols
  • Highly organized, proactive, and solution-oriented
  • Good communication skills for liaising with teams, partners, and vendors
  • Experience in the ICT or surveillance industry is a plus
