Position Overview
Tiger Tribe is seeking an experienced and proactive Admin Executive to oversee our day-to-day office operations. As we operate as an independent entity, this role requires a self-motivated professional who can work independently, manage administrative budgets effectively, and seamlessly support our diverse team, including expatriate employees. The ideal candidate will handle everything from mobility logistics (visas, flights) to financial coordination and internal company engagement activities.
Key Responsibilities
1. Office Administration, Facilities & Vendor Management
- Manage day-to-day office operations independently to ensure a smooth, productive, and organized working environment.
- Oversee and manage office facilities, ensuring all equipment, infrastructure, and workspaces are well-maintained, safe, and fully operational.
- Act as the primary point of contact for vendor management, including sourcing new vendors, negotiating contracts, evaluating performance, and maintaining long-term relationships with service providers.
2. Mobility & Expatriate Support
- Handle end-to-end logistics for business travel, including booking flights, accommodations, and transit for local and international employees.
- Serve as the main point of contact to assist expatriate staff with transitioning and settling into local operations.
3. Financial Control & Budgeting
- Maintain strong knowledge and control over the administrative budget, tracking expenses to ensure cost-efficiency.
- Partner closely with the Finance department to process payment requests, handle vendor invoicing, and clear monthly administrative expenses accurately and on time.
4. Internal Activities & Employee Engagement
- Plan, organize, and execute internal company events, team-building activities, and festive celebrations to foster a vibrant company culture.
- Collaborate with HR and management to drive internal initiatives that boost team morale and engagement.
Job Requirements
- Experience: Minimum of 3 years of solid experience in Admin Operations, Facilities Management, or Office Operations.
- Independence: Proven ability to work independently, take initiative, and manage multiple tasks with minimal supervision.
- Vendor & Facility Expertise: Strong experience in managing external vendors and maintaining office facilities/infrastructure.
- Cross-Cultural Competence: Excellent communication skills with the ability to work confidently and effectively with foreign employees and stakeholders.
- Technical Knowledge: Hands-on experience handling mobility administration (visas, , flight/hotel bookings).
- Financial Acumen: Good knowledge of budget control, expense tracking, and executing payment workflows with Finance teams.
- Language: Proficiency in English (both written and spoken) is highly required to support international staff and stakeholders.
- Soft Skills: High organizational skills, negotiation abilities, problem-solving mindset, and an enthusiastic attitude toward organizing internal community activities.
