We are seeking a Workplace & Administrative Coordinator to support the daily operations of our office (part-time). This is a hands-on role encompassing front desk responsibilities, facilities coordination, and team event planning. The ideal candidate is organized, dependable, and able to manage multiple priorities in a dynamic environment. A proactive mindset and strong sense of ownership are essential to success in this role.
Daily Tasks
- Welcome and assist guests, clients, and staff with a polished, professional presence befitting a financial services environment.
- Oversee facilities day-to-day: space readiness, vendor scheduling, maintenance coordination, and building access protocols.
- Manage procurement of office supplies, kitchen stock, and equipment through vendor portals and local pickups as needed.
- Coordinate internal meeting logistics — room reservations, catering, A/V setup, and post-meeting cleanup.
- Support planning and execution of company events, team gatherings, and client-facing activities.
- Own the mailroom function: receiving, sorting, and routing packages and correspondence; managing courier and post office relationships.
- Maintain scheduling systems for shared resources including conference rooms, desks, and training spaces.
- Assist with budget tracking for office and facilities spend; support documentation and process improvement initiatives.
- Flex into ad hoc administrative and operational projects across departments as business needs evolve.
Requierments
- Background in workplace operations, administrative support, facilities coordination, or executive assistance.
- High degree of professionalism and discretion — this role operates in a client-facing, regulated industry environment.
- Proactive by nature; identifies what needs to be done and handles it without waiting to be directed.
- Calm and organized under pressure, with the ability to reprioritize quickly when the day changes on you.
- Strong written and verbal communication skills; comfortable interfacing with leadership, vendors, and external guests alike.
- Proficient in Microsoft 365 (Outlook, Excel, Word, PowerPoint, MS Forms).
- Tech-comfortable and able to troubleshoot basic office tech, and self-sufficient when learning new platforms.
- Availability to work part-time Monday – Friday in the Kansas City Metropolitan Area.
- Compensation: $18 – $25/hr.
