Location: Johannesburg, Sandton, South Africa

Salary: R30,000 – R34,000 per month (excluding benefits)

About The Role

We are seeking a highly organized and proactive Administrative Assistant to support the efficient day-to-day operations of our Corporate Department in Johannesburg.

The successful candidate will provide comprehensive administrative, office coordination, and logistical support to management and staff. This role serves as a central coordination point for office operations, internal communication, travel arrangements, and records management while contributing to a professional and well-organized working environment.

The position reports to the General Manager of the Department and will work closely with internal teams and external stakeholders.

POSITION INFO:

Key Responsibilities

Office Administration

  • Manage daily administrative operations to ensure smooth office functioning
  • Coordinate internal communications within the branch and across the MEA Bloc
  • Schedule and manage meeting rooms
  • Maintain office directories and communication systems
  • Distribute incoming mail and courier deliveries
  • Manage office consumables and stationery inventory
  • Organize and maintain secure filing systems and records

Administrative Support

  • Provide administrative support to managers and departmental staff
  • Assist with planning and coordination of company events
  • Prepare regular administrative reports, including weekly reports
  • Collect and consolidate information from multiple stakeholders for reporting purposes
  • Maintain accuracy, timeliness, and confidentiality of administrative documentation
  • Provide stand-in support for the Personal Assistant when required
  • Support administrative aspects related to advisory contracts and potential office setup initiatives

Travel & Logistics

  • Arrange travel bookings including flights, accommodation, and itineraries
  • Coordinate transportation logistics for staff and guests
  • Ensure travel arrangements comply with company procedures

Reception

  • Welcome and coordinate visitors and guests
  • Notify staff of visitor arrivals
  • Provide a professional first point of contact for visitors

Vendor & Service Provider Coordination

  • Liaise with vendors and service providers to ensure timely delivery of supplies and services
  • Process workflows using internal systems

Office Maintenance

  • Ensure office premises remain clean, safe, and well maintained
  • Coordinate maintenance, repairs, and servicing of office equipment and facilities
  • Liaise with cleaning staff, contractors, and service providers
  • Ensure compliance with workplace health and safety standards

Ad-hoc Duties

  • Provide additional administrative and logistical support as required.

Requirements

Skills & Knowledge

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with office management systems and equipment
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to manage competing priorities and deadlines
  • Professional approach with the ability to maintain confidentiality
  • Self-motivated team player with strong problem-solving skills

Experience

  • Minimum 1 year of experience in Office Administration

Education

  • Certificate in Office Management (preferred)
