About The Role
We are seeking a highly organized and proactive Administrative Support professional to join the Department of Language, Culture and the Arts (LCA). This position reports directly to the LCA Administrative Specialist and serves as a key point of contact within the department. The successful candidate will be responsible for a broad range of administrative functions, including managing communications, supporting event planning, coordinating academic and personnel processes, and maintaining departmental records. This role requires a candidate who can exercise sound judgment, demonstrate initiative, and effectively manage multiple priorities in a fast-paced academic setting. The ideal candidate will possess excellent communication skills, a high level of professionalism, and the ability to work collaboratively with faculty, staff, students, and external partners to ensure the smooth operation of the department.
Qualifications
- Associate degree or higher
- More than 4 years of progressively responsible administrative support experience
- Demonstrated high-level professional interpersonal skills and a service-oriented attitude
- Proficiency in Microsoft Office Suite and Google Suite
- Excellent written and verbal communication skills
- Ability to prioritize and handle multiple assignments and deadlines
- Strong organizational, analytical, and problem-solving skills
- Ability to handle confidential information with discretion
- Effective communication skills in a culturally diverse environment
- Ability to work independently and collaboratively within a team
- Proven initiative and ability to adapt to changing priorities
Responsibilities
- Serve as the first point of contact for faculty, staff, students, and visitors, providing professional and courteous assistance
- Support the Department Administrative Specialist with daily administrative and operational tasks
- Compose correspondence, prepare documents, and coordinate communication to faculty and students
- Answer inquiries via email and phone, and manage electronic and hard copy filing systems
- Assist with course scheduling, classroom coordination, and academic administrative processes
- Organize departmental meetings, special events, and logistics such as space, catering, and A/V equipment
- Coordinate Lecturer Employee Organization (LEO) appointments, renewals, overloads, and summer employment actions
- Prepare personnel documentation, including Personnel Action Requests (PARs), and maintain faculty personnel records
- Monitor deadlines related to faculty appointments, reviews, and reappointments
- Assist with onboarding new faculty and staff, including international faculty documentation and visa processes
- Process and track financial transactions, reimbursements, procurement, and P-Card reconciliations in accordance with university policies
- Support faculty and staff with travel arrangements and expense reporting
- Maintain and update the department website in collaboration with college communications staff
- Develop and distribute departmental announcements and promotional materials
- Provide administrative support for study abroad programs and coordinate related activities
- Assist with candidate interviews, campus visits, and travel arrangements as needed
- Contribute to other departmental projects and administrative tasks as assigned
