About The Role

The Department of Molecular Biology is seeking a dedicated Grants Administrative Assistant to join their team on a full-time basis. This remote position plays a vital role in supporting a team of eight grants administrators by managing various administrative and financial tasks related to sponsored research projects. The successful candidate will assist in both pre-award and post-award activities, ensuring compliance with funding agency policies and university regulations. The Grants Administrative Assistant will be instrumental in maintaining accurate financial records, preparing billing documentation, and supporting award closeout procedures. Qualifications

  • Bachelor’s degree in business, finance, accounting, biological sciences, or a related field, or several years of progressively responsible professional experience in lieu of a degree.
  • Proficiency in Microsoft Office applications, including Excel, Access, and Word.
  • Strong understanding of basic accounting principles and financial management.
  • Ability to interpret and apply policies of multiple funding agencies.
  • Excellent attention to detail and organizational skills.
  • Strong interpersonal and communication skills, both written and oral.
  • Demonstrated commitment to maintaining confidentiality and financial integrity.
  • Preferred: Familiarity with university policies regarding grant applications and experience with university financial systems such as ERA, Labor Accounting, Information Warehouse, and PeopleSoft PRIME.

Responsibilities

  • Support the grants team in post-award management, including entering cost transfer and labor accounting information into university financial systems.
  • Prepare invoices and backup documentation for sponsor billing processes.
  • Extract and review monthly financial reports on faculty grants, identifying significant variances and notifying grants managers.
  • Perform searches for unallowable costs on faculty grants and communicate findings to relevant staff.
  • Assist with award closeout procedures to ensure timely and accurate completion.
  • Support pre-award activities such as handling Department Limited Submissions and assisting with ERA proposals, budgets, and compliance tasks.
  • Act as a backup for grants managers during periods of high workload, particularly for smaller grants and fellowships.
  • Participate in grant data collection, entry, and updates within systems like xTrain.
  • Maintain grant records and documentation in the OnBase system and manage departmental funding opportunities in the Princeton Research Funding Gateway.
  • Prepare monthly accounts reports and assist with financial record retention tasks.
  • Attend training sessions and meetings to stay current with university policies, compliance requirements, and financial systems.
  • Perform other administrative duties related to research grants as needed to support the department’s objectives.
