A well-established, high-end residential services firm in Chicago is seeking an Administrative Coordinator to join their Bucktown office. This Administrative Coordinator position offers a competitive salary of up to $75,000 based on experience, plus bonus eligibility and the opportunity to support senior leadership within a stable organization. This is a dynamic role ideal for a polished, detail-oriented professional who thrives in a fast-paced environment, enjoys supporting executives and high-performing teams, and takes pride in delivering exceptional service. Working alongside an experienced leadership team, this individual will play a key role in providing administrative and executive support while helping ensure seamless day-to-day operations. Following an initial training period, this position offers a flexible hybrid schedule of approximately 2–3 days in the office each week. Benefits include medical, PTO, and 401k.

Responsibilities of the Administrative Coordinator:

  • Provide administrative and executive support to senior leadership, including the President of the Residential Division and key members of the administrative team.
  • Coordinate complex travel arrangements, meeting logistics, and calendar management while ensuring schedules remain accurate and organized.
  • Assist with financial and administrative projects, including supporting reporting, documentation, and other detail-oriented tasks.
  • Provide overflow administrative support to the residential services team and assist with a variety of day-to-day operational needs.
  • Prepare correspondence, maintain organized records, and ensure timely completion of administrative requests.
  • Support meeting coordination, including scheduling, materials preparation, and follow-up communication.
  • Partner closely with multiple departments while providing exceptional service to both internal stakeholders and high-end residential clientele.
  • Take on special projects and additional administrative responsibilities as the role continues to evolve.

Qualifications of the Administrative Coordinator:

  • Prior administrative or executive support experience required.
  • Minimum of 3 years of relevant administrative experience required.
  • Experience supporting executives, high-net-worth clients, or within a polished professional services environment preferred but not required.
  • Strong Microsoft Office skills, particularly Excel, Outlook, and other Office applications.
  • Excellent communication skills with a highly professional and polished demeanor.
  • Exceptional attention to detail with the ability to maintain accuracy while managing multiple priorities.
  • Strong organizational skills and the ability to work efficiently in a fast-paced environment.
  • Dependable, proactive, and able to anticipate needs while consistently delivering high-quality work.
  • Strong aptitude for working with numbers and handling administrative tasks requiring precision.
