Role Description The Documentation Officer is a full-time, on-site role based in Kathmandu, responsible for managing and maintaining accurate documentation related to overseas recruitment and deployment. This role includes preparing, reviewing, and organizing candidate files, contracts, visas, and export-related documents in line with regulatory and client requirements. The Documentation Officer will coordinate with internal teams, candidates, and international partners to ensure timely completion of paperwork and compliance with legal and agency standards. Daily tasks involve updating document management systems, tracking document status, verifying data, and supporting audits or inspections as needed. The role also requires assisting with pre-departure documentation, responding to documentation-related queries, and contributing to process improvements for efficient document handling.

Qualifications

  • Candidates should possess strong skills in Documentation and Document Management for organizing, reviewing, and maintaining accurate records.
  • Candidates should possess Export Documentation and Export-related skills to handle overseas placement paperwork and compliance requirements.
  • Candidates should possess effective Communication skills to coordinate with candidates, internal teams, and international partners.
  • Strong attention to detail, data accuracy, and ability to work with confidential information in a secure and professional manner.
  • Familiarity with recruitment processes, labor laws, or international manpower export procedures is an advantage.
  • Proficiency in MS Office and basic digital record-keeping tools; experience with document management systems is beneficial.
  • Minimum of a bachelor’s degree in Business Administration, Management, or a related field, or equivalent practical experience.
  • Ability to work on-site in Kathmandu, manage multiple tasks, and meet deadlines in a fast-paced environment.
