Position Summary:
The Yu Lab investigates neurodevelopmental and neurogenetic diseases through translational genomics. The lab is led by Dr. Timothy Yu, Principal Investigator in the Division of Genetics and Genomics at Boston Children’s Hospital (BCH), an investigator in the Manton Center for Orphan Diseases, a co-founder of the Center for Therapeutic Genetics, and Associate Member of the Broad Institute of MIT and Harvard.
The Yu Lab is seeking an energetic and proactive administrative assistant to support Dr. Yu and the Yu Lab project managers and operations team. This role will provide comprehensive administrative support, including, but not limited to, scheduling and meeting support, coordination of lab events, booking complex travel, and more.
Key Responsibilities:
- Provide direct administrative support for the principal investigator (Tim Yu), and research group, which will include correspondence, meetings, and event coordination.
- Coordination of visitors and special guests, planning their visit to BCH and providing escorts to and from relevant meeting spaces.
- Scheduling assistance, conference call set-up, and other duties as assigned for lab staff and Dr. Yu.
- Manage travel arrangements including the booking of flights, lodging, and relevant registrations for Dr. Yu.
- Manage curation and organization of administrative documents and lab contracts, including signatory privileges for Dr. Yu.
- Place food orders, and pick up the delivery for periodic Yu Lab meeting lunches and visiting speakers.
- Oversee scheduling, AV set-up, & room set-up for larger meetings, such as with collaborators or special guests.
- Circulates agendas, minutes, presentations, and other materials. Coordinates logistical and technological arrangements to ensure seamless execution.
- Schedule, plan, and facilitate group and program social events.
- Track and maintain the Yu lab website, including updating when changes to the group occur.
- Coordination of job appointments, including set up and extensions of all Yu Lab trainees.
- Managing digital assets for the lab (Dropbox, Slack, etc.).
- Drafting business letters for Dr. Yu (letters of recommendation, letters of support).
- Contributing to internal and external lab communications (i.e. updating the lab website and social media accounts).
- Other responsibilities as assigned.
Schedule:
Hybrid, 2-3 days a week onsite
Minimum Qualifications
Education:
- Bachelor’s degree.
Experience:
- 1 year of relevant administrative experience.
- OR 5+ years of progressive experience in an administrative/business services role, if no Bachelor’s degree is held.
Preferred Experience:
- Experience in a research or academic setting.
- Experience with research finance is considered a plus.
- Demonstrated success working in a highly collaborative and complex environment.
- Strong communication skills, both verbal and written; strong interpersonal skills, including the demonstrated ability to influence others and build working relationships.
- Strong customer service skills and excellent problem-solving skills. Strong organizational skills and attention to detail.
- Ability to prioritize in real-time and change gears quickly between tasks.
- Experience with GSuite, Office 365, Slack, Dropbox and Zoom.
