Job Purpose
To lead and drive the administration function across the organization, including Head Office, manufacturing plants, and branch offices nationwide. The role ensures efficient infrastructure management, statutory compliance, safety, cost optimization, and a seamless workplace experience aligned with business objectives.
Key Responsibilities
1. Strategic Leadership
- Define and implement the overall administration strategy across corporate, factories, and branch locations.
- Align administrative policies and practices with organizational growth and operational priorities.
- Drive standardization, digitization, and process excellence across locations.
2. Facilities & Infrastructure Management
- Oversee end-to-end facilities management including office infrastructure, utilities, and maintenance across all locations.
- Ensure high uptime and efficiency of critical infrastructure (electrical, HVAC, utilities, plant admin support).
- Lead infrastructure expansion, renovations, and workplace transformation initiatives.
3. Factory Administration
- Supervise plant administration including security, transport, canteen, housekeeping, and statutory compliance.
- Ensure smooth coordination with plant operations teams for uninterrupted production support.
- Drive adherence to safety, health, and environmental (EHS) standards.
4. Branch & Regional Administration
- Manage administration of multiple branch offices across India ensuring consistency in standards and service delivery.
- Establish governance mechanisms and periodic audits for branch operations.
5. Vendor & Contract Management
- Lead vendor selection, negotiations, and performance management for all admin-related services.
- Drive cost efficiency through strategic sourcing and contract optimization.
6. Compliance & Risk Management
- Ensure compliance with all statutory, legal, and regulatory requirements related to administration, facilities, and safety.
- Manage audits, inspections, and risk mitigation frameworks across locations.
7. Budgeting & Cost Optimization
- Own and manage the administration budget across corporate, factories, and branches.
- Identify and implement cost-saving initiatives without compromising service quality.
8. Safety, Security & Sustainability
- Oversee physical security, emergency response systems, and crisis management protocols.
- Drive sustainability initiatives such as energy efficiency, waste management, and green building practices.
9. Stakeholder Management
- Partner with leadership teams, plant heads, and regional managers to address infrastructure and admin needs.
- Ensure high levels of internal customer satisfaction across all locations.
10. Team Leadership
- Lead and mentor a large, geographically dispersed administration team.
- Build capability, drive accountability, and foster a high-performance culture.

Job Specification
Educational Qualification
- Bachelor’s degree in Engineering / Administration / Facilities Management / related field
- MBA or relevant postgraduate qualification preferred
Experience
- Minimum 20+ years of experience in administration/facilities management
- Extensive experience managing Head Office, manufacturing plants, and multi-location branch networks across India
- Proven track record in leading large teams and handling complex, multi-site operations
Technical & Functional Skills
- Strong expertise in facilities, plant administration, and infrastructure management
- In-depth knowledge of statutory compliance, labor laws, and safety regulations
- Experience in vendor management, contract negotiation, and cost control
- Exposure to digitization and automation of admin processes
