We are looking for an Office Manager to be the backbone of our Malaysia workplace—ensuring smooth daily operations, supporting our growing team, and serving as the bridge between our Malaysia office and Singapore HQ.

Your responsibilities:

Administrative Management

·      Daily office requests, ad-hoc tasks, correspondence, meeting coordination

·      General admin support, filing, scheduling and documentation

·      Coordinate team meetings, offsites and visitor arrangements

·      Implement and maintain office procedures and workflows

·      HR & Staff support including onboarding, personnel records, staff requests

·      Act as primary POC with Singapore HQ (HR, Finance, Operations)

Facility & Vendor Management:

·      Oversee office supplies inventory, reorder as needed

·      Coordinate repairs and servicing of office equipment

·   Liaise with external vendors and service providers (building management, cleaning, security, utilities)

·    Ensure workspace is clean, organized, and fully functional

 

Finance Admin Support

·      Process vendor invoices and ensure timely payment

·      Issue PO, raise purchase request on behalf of operations team

·      Monitor and track office-related expenses

·      Coordinate with Singapore finance team on payment and reporting matters

Compliance & Safety

·      Ensure workplace complies with local health and safety regulations

·      Maintain emergency contact lists, first aid kits, and evacuation plans

·      Assist with any local statutory or compliance requirements as needed

·      Coordinate with Singapore finance team on payment and reporting matters

What We're Looking For

Essential Requirements:

  • 3-5 years in office management, administration or executive assistant to C-level.
  • Experience working in a startup or fast-paced environment
  • Experience liaising with cross-border teams
  • Familiar with local employment regulations and HR processes
  • Professional fluency in English. Mandarin speaking will be an added advantage.
